An email marketing cost calculator cannot give you a precise price, because no one can. The published ranges are wide for a reason: the same word — email marketing — covers software subscriptions, freelance projects, agency retainers, and flat-rate services doing very different jobs.
What a calculator can do is turn three inputs — campaigns a month, list size, and who does the work — into a range that matches how providers actually price. It uses the published figures cited in our small-business cost guide and agency pricing guide. It is an estimate, not a quote.

DIY software with a list under 1,000: AWeber's 2026 guide says most small businesses pay $0 to $100 a month for the platform, with list size as the main variable. You do the campaign work yourself, so your own time is not in this figure.
This is an estimate from published market ranges, not a quote. Actual prices depend on scope, platform fees, and setup, which the estimate below the table does not include.
How to read the estimate
The estimate is a monthly range, because that is how providers quote. Software is billed monthly. Freelance project work is billed per campaign, which we multiply by your campaign count. Retainers and flat-rate services barely move with campaign count, because the scope is the fee.
Campaign count matters most for freelance project work. The published range is $45 to $170 per project on Fiverr's marketplace guide, so two campaigns a month land around $90 to $340. The low end is often copy in a document; the high end usually includes design, a build in your email platform, testing, and scheduling. Ask what the project includes.
List size matters most for software. AWeber's cost breakdown puts the platform at $30 to $60 a month at 5,000 subscribers and $150 to $300 at 25,000, with entry-level plans from $0 to $100 for modest lists. The platform bill is usually the smallest line item; the labour of producing campaigns is where the money goes.
Why the ranges are wide
The ranges are wide because the work being priced varies more than the label suggests. A freelancer operating like a small agency can quote near agency rates. An agency with a productised entry package can price like a flat-rate service.
The widest published range is the honest one: GetResponse's 2026 cost guide lists $10 to $200 hourly or $50 to $5,000 per project for outsourced work. A single email built from a brief is a different purchase from a monthly programme with strategy and reporting. Do not treat the midpoint as a likely price; treat the range as the space your scope lands in.
What changes the number
- Who does the work. This is the largest single factor. Software shifts the labour to you. A freelancer prices one person's time. An agency prices a team. Our flat-rate service prices a fixed two-campaign scope.
- List size. It raises platform fees — $30 to $60 a month at 5,000 subscribers, $150 to $300 at 25,000 — and some agencies price partly by subscriber count, so a growing list can move a quote even when the schedule stays the same.
- Send frequency. Twice a month and daily sends need different production schedules. Project pricing scales directly with sends; retainers are more forgiving up to a defined limit.
- Scope of the deliverable. Copy only, copy plus design, or a fully built and scheduled campaign are different products. Compare the responsibility being transferred, not the label on the invoice.
- Setup and platform fees. Technical setup, authentication, template builds, and the platform bill are often quoted separately. Two offers with the same service fee can differ by thousands in the first year.
What to ask a provider
Use these questions to turn any range into a comparable scope:
- What is produced each month — campaigns, automations, strategy documents, reports, or calls?
- How many campaigns are included, and what counts as one campaign?
- How many revision rounds are included, and what happens if approvals are delayed?
- Are platform fees included, marked up, or billed directly to my business?
- Is initial setup included, and does it cover authentication and template build?
- Does the price rise if my list grows, even if the schedule stays the same?
- Who owns the email platform account and the subscriber list?
- What reports will I receive, and how often?

The calculator multiplies the $45 to $170 per-project range by your campaign count, because that is how project-based providers price. It uses the retainer ranges as quoted, because those fees buy a standing scope. The DIY option uses the AWeber list-size figures directly. Our own price is stated rather than estimated: $59 a month for two campaigns, or $29.50 per campaign.
What the calculator does not account for: platform fees passed through to you, one-time setup, domain authentication, list cleaning, extra revisions, automation builds, your own time, and contract discounts. It also does not predict results. A higher spend earns its keep only if the programme generates more value than the fee.
